We’ll help you build the brief for your perfect venue, then conduct site visits, assessments and negotiations, until we have the one.

Planning Hub

The process begins and ends in your bespoke planning hub, complete with links to our task lists, schedules, budgets, timelines, guestlist, moodboards, contracts… anything & everything that we’ll refer to along the way. This is one place where we’ll communicate, along with emails, calls and meetings.

Event Format & Design Concept

Following consultations with you, we’ll create the format and design concept document for your wedding. This will form the basis of every element implemented, thereafter and include everything from the ceremony structure and palettes, to entertainment, food, furnishings, tablescapes, overall vibe and any multi-day aspects to your wedding. Our aim is to nail what you love first time, but you can have up to two revisions, based on your feedback. We take our inspiration from your venue, the season and above all, you.

Budget Management

You will be presented with a customised interactive budget platform, so you’ll know the closely estimated final cost of your wedding, right from the start, and will have full transparency in terms of how that develops throughout the process, with a clear view of what you’ve paid down, what’s due to be paid and when, all in one spot. We’ll use our experience and network to get the best possible price for you, every time.

Supplier Management

We will appoint, brief and manage your curated selection of suppliers, chosen to deliver best on your particular needs, ethos and budget. Throughout the planning process, we will monitor contracts, handle payments, where desired and manage briefings, logistics and schedules. Two weeks before your wedding weekend, we will personally check in with each supplier, sharing the event timeline and confirming their installation, service and breakdown process; driving home the brief and your event ethos. We’ll oversee their installations and breakdowns and evaluate the quality of their service/ product, firefighting, where necessary. This covers every possible participant in your wedding process (including, but not limited to: the venue, celebrant, photographer, videographer, entertainment, caterer, bar company, baker, florist, beauty team, stationer, transport firm, lighting, AV, marquee-builders, structural fabricators). We will be your sole point of contact, fielding all communication and administrative tasks, including scheduling physical or virtual appointments, or attending them, on your behalf, communicating developments with you concisely and regularly, up to seven days after the wedding weekend.

Spatial Planning

We’ll create and manage your floorplans, seating charts, traffic flows, safety and hygiene protocols, for your event spaces. We’ll oversee the implementation of the above, intuitively and inline with health and safety guidelines.

Structure, Facilities & AV Management

We will assess your venue in terms of its need for additional furniture, marquee and shelter structures, kitchen and restrooms, bar and stage builds, lighting and audio-visual infrastructure; and implement the solutions best suited to your needs and budget. We will oversee tent erection, portaloo installation, bar and stage builds, lighting and audio-visual installation, ensuring every element is actualised according to the specifics in your event concept document. 

Timelines and Schedules

At the beginning of your planning process you’ll receive your bespoke planning timeline, so you know exactly what we’ll do for you, throughout the process, and when we’ll do it. You’ll receive reminders of anything you’re required to do, to. As your wedding week approaches, we’ll create and share the logistical, installation and event day schedules, including local transport schedules for guests and an hour-by-hour breakdown of the entire wedding weekend, to be shared with all suppliers.

Ceremony Planning

Working with your ceremony venue and celebrant,we will advise on and perfect the structure, atmosphere, layout and music for your ceremony, considering logistical hacks and the finer details that only come with experience.

Guest Services

We will source and manage the booking of local accommodation and transport options for your guests and format an information package for you to share. If children will be in attendance, we can organise trusted babysitters, entertainment, activity packs and fun areas. We’ll furnish restrooms with courtesy items. If valet parking, security and bathroom attendants are preferred, consider it done.

Destination Planning

We will be your local experts, tailoring all of the above planning services to your timezone and giving all that additional support that’s so important, when you’re planning from outside of Ireland. Budgeting documents will be provided in your currency as well as in Euro. Non EU clients will avail of a 0% VAT rate on remote planning services provided by love & gatherings. 

Stationery Management

We will work with your dedicated stationer to create the design concept, write copy and manage the production process from printing, to packaging and mailing your precious packages out to guests. Same goes for the event day stationery and signage, which will be artfully displayed according to your design concept and coordinated with the smooth running of your wedding day, in mind. 

Catering Management

We’ll work with your venue or caterer to create your perfect plan for bar and wine menus, perfecting service logistics, staffing and floor plans to ensure the most delicious food and drinks are served, in the best way. Throughout the wedding weekend we will ensure timelines are adhered to intuitively and not a single glass goes unfilled. 

Entertainment Management

We’ll source and appoint the perfect acts for your ceremony, cocktail reception, dining reception and afterparty as well as for any events in the days preceding, or following, the main wedding day. We’ll work with you to curate setlists and we’ll liaise with the entertainers, venue, AV and staging subcontractors to ensure everything is in place for everything from demure background music to a stomping stage show. Throughout the wedding weekend, we’ll manage setups, special requests and aesthetic guidelines. 

On Site Location

Your Event Management team will be located either on site or in the close vicinity of your venue, arriving before the first suppliers do and departing once the last has left. We’ll be there to welcome you and walk you through what’s to follow, your constant guide throughout the weekend. 

Personal Assistance

We will be your personal assistant for each element of your wedding event, from queuing your walk up the aisle, to beauty touch-up reminders and speech timings. We’ll straighten ties, hold flower girls’ hands and locate lost handbags. 

Styling Production

We’ll source, hire and create all items detailed in your Design Concept, including, but not limited to, furniture, furnishings, candles and decor, tableware, paper goods, personal items. We’ll always find the very best options for your budget, including looking outside Ireland, when we know that’s optimal.

Venue Styling

We’ll install each styling element on your Design Concept, with precision and finesse, taking last minute requirements with ease. 

Set Styling

We’ll work with your photographer and videographer to create still life imagery of your details, and walk them through all live design elements to be captured. 

Payments

We will manage cash payments and tips, throughout the weekend. 

Our Team

Depending on the size of your wedding, we will have an agreed number of experienced, talented and personable event stylists, planners & managers working on your project and on site at your venue(s), always under Kate’s management and with Kate as your personal contact.

Contract Assurance

You’ll receive a tailored contract guaranteeing agreed services, including assurances that in the event of future event/travel restrictions due to a pandemic, or other Act of God, which prevents your wedding from taking place, we will transfer your booking to a new date and assist with any replanning necessary to do so, at no additional charge. Love & Gatherings is fully insured for our activities, staff, and the property and products we handle.
